Best interview scheduling software in 2026

Panel loops, self-scheduling links, text-based booking and AI agents that reschedule on their own: which interview scheduling tool fits which team.

Full disclosure: NTRVSTA wrote this roundup of interview scheduling software. Scheduling is one feature of our product, not the whole product, so we ranked the specialists above us. Facts about other tools come from their own sites, linked under Sources.

TL;DR

For complex panel loops, a dedicated interview scheduling tool like GoodTime or ModernLoop is the right call. For simple one-to-one screens, a booking link from Calendly may be all you need. If you want scheduling to happen as part of a wider automated process (sourcing, screening, then booking), an agent that schedules as one of its jobs can replace several tools.

  • Best for complex enterprise panels and interviewer load balancing: GoodTime
  • Best for tech companies running heavy interview loops: ModernLoop
  • Best for simple self-scheduling links: Calendly
  • Best for hourly hiring where candidates book by text: Paradox
  • Best for booking interviews as one step of an end-to-end recruiting agent: NTRVSTA (us)

What actually matters when choosing an interview scheduling tool

The first question is what your hardest interview looks like. Booking a 30-minute phone screen is easy for almost any interview scheduling tool. A five-person onsite loop with a required order, a shadow interviewer in training and a hiring manager in another time zone is not. If most of your coordinator hours go to loops like that, look for panel and multi-day support, interviewer pools, load balancing and automatic swaps when someone declines. Our glossary entry on interview scheduling covers the vocabulary.

Second, look at where the candidate books. Office and tech candidates are fine with an email link. Hourly and frontline candidates often respond far faster by text, so text-based booking matters more there than panel logic does. Reminders cut no-shows in both cases.

Third, check the ATS and calendar connections. A scheduler that can't read interview stages from your ATS, or can't write confirmed times back, leaves coordinators copying details by hand. Ask whether the tool works with Google Workspace or Microsoft 365, which ATS it reads from, and whether pricing is per seat or per candidate. GoodTime, for example, says it prices by annual candidate volume rather than seats.

1. GoodTime

GoodTime is a dedicated interview scheduling and hiring-coordination platform for single-day, multi-day and panel interviews, and it says it syncs two ways with the ATS. Its agent, Cori, schedules and reschedules, replaces interviewers who become unavailable, sends reminders and follow-ups by email, SMS and WhatsApp, drafts scorecards and moves candidates through stages. GoodTime says every Cori action is visible and humans can step in or override.

GoodTime lists Ashby, Greenhouse, iCIMS, Jobvite, Lever, SmartRecruiters, SAP SuccessFactors and Workday. It reports SOC 2 Type II and ISO 42001, and says its AI is independently bias-audited. Pricing is on request. Read GoodTime vs NTRVSTA for a direct comparison.

Best for: enterprise TA teams with complex, high-volume interview loops.

2. ModernLoop

ModernLoop automates scheduling on top of the ATS with calendar sync, interviewer selection, workload balancing and scheduling queues that coordinators work from. In 2025 it added Taylor AI, which ModernLoop calls an always-on AI recruiter: it runs candidate interviews by phone, assesses them against criteria and answers questions from your company knowledge base, and ModernLoop says it also does zero-click scheduling.

ModernLoop lists Workday, Greenhouse, Lever, Ashby and SmartRecruiters, with iCIMS marked as coming soon. Pricing isn't published.

Best for: tech-forward companies with heavy onsite loops that want coordinators working from one queue.

3. Calendly

Calendly is a general-purpose scheduling tool with a recruiting offering. Its recruiting page describes scheduling for phone screens, hiring manager one-on-ones and group interviews, with automatic reminders and confirmations, and post-interview follow-ups. Calendly names Greenhouse, JazzHR, LinkedIn, Zoho Recruit, Gem and Zapier among its connections, and its extension lets recruiters share links from inside tools like Greenhouse and LinkedIn Recruiter.

Calendly's recruiting page does not describe panel loops or interviewer load balancing, so it suits simpler steps. NTRVSTA connects to Calendly and works alongside it, so you can keep your links. You can sign up free; paid plan prices are on Calendly's own site.

Best for: recruiters and hiring managers who mainly need clean self-scheduling for one-to-one conversations.

4. Paradox

Paradox's assistant, Olivia, runs candidate conversations over chat and SMS, handling applications, screening questions, interview scheduling, events and onboarding for high-volume and frontline hiring. Workday completed its acquisition of Paradox on October 1, 2025, and paradox.ai still runs as its own brand.

Paradox says Olivia detects more than 100 languages. Pricing isn't published.

Best for: retail, QSR, franchise and healthcare employers booking large numbers of interviews by text.

5. Sense

Sense sells interview scheduling as its own module, covering one-to-one, panel and sequential interviews, alongside SMS and WhatsApp messaging, a chatbot and AI Recruiter agents. Sense publishes a starting price of $500/mo for scheduling and says every package includes a customer success manager, implementation and three months of hypercare.

Sense lists Bullhorn, JobDiva, Avionte and other staffing systems, plus Workday, Greenhouse and iCIMS.

Best for: staffing firms and healthcare teams that want scheduling tied to text-based engagement.

6. NTRVSTA (us)

NTRVSTA is not a dedicated scheduler, which is why it sits sixth here. Carolina, our AI Head of Talent, books interviews and panels on your calendar (Google Workspace, Microsoft 365, Zoom or Calendly) as one step in a longer job: she also sources candidates, runs outreach by email, SMS and WhatsApp, scores and ranks every resume with an explanation, and runs live AI interviews by video avatar or audio that adapt to each answer. Because the first-round interview is taken 24/7 on the candidate's own time, there is no slot to book for that round at all.

You set each action to suggest, ask first or auto, and offers and compensation changes always wait for a person. NTRVSTA connects to your ATS and calendar, including Google Workspace and Microsoft 365. Starter is $0 for one role and 10 AI interviews, and paid plans are on our pricing section.

Where NTRVSTA isn't the right fit: if your only problem is coordinating large onsite panels, GoodTime or ModernLoop go deeper on load balancing and coordinator queues. NTRVSTA is also newer and smaller than the incumbents, and it is not an ATS.

Best for: teams that want scheduling handled inside an agent that also sources, screens and interviews.

7. hireEZ

hireEZ's EZ Agent includes an AI Scheduler that hireEZ says syncs calendars, coordinates panels and handles reschedules within rules the customer sets. It sits next to sourcing, applicant ranking and conversational screening agents, with hireEZ saying nothing moves forward without your approval.

The solo plan starts at $494/mo with a 7-day trial; Enterprise pricing isn't published.

Best for: enterprise teams that want sourcing and scheduling handled by the same agent layer.

Questions

What does interview scheduling software do?

It finds times that work for the candidate and every interviewer, sends the invites, books rooms or video links, sends reminders, and handles reschedules. The better tools also balance interview load across your team and write the result back to your ATS.

Is a booking link enough, or do we need a dedicated interview scheduling tool?

A booking link handles one-to-one screens and hiring manager calls well. Once you run multi-person panels, back-to-back loops, or interviewer training rotations, a dedicated tool such as GoodTime or ModernLoop saves real coordinator time.

What happened to Prelude?

Calendly announced it had acquired Prelude in September 2022 and said in 2023 that Prelude's scheduling would merge into Calendly. When we checked on November 1, 2026, prelude.co showed a parked page rather than the product, so we did not list it.

Can AI agents reschedule interviews without a coordinator?

Several tools say they can. GoodTime says its agent Cori reschedules and swaps in a new interviewer when someone drops, and hireEZ says its AI Scheduler handles reschedules within your rules. Start with the agent proposing changes, then let it act on its own once you trust it.
