An interview invitation email turns a "yes, we'd like to talk" into a candidate who shows up on time and prepared. This free interview invitation email template is ready to copy and edit, and it covers the parts candidates most often have to write back and ask about: format, length, who they'll meet and what to prepare. You'll also get a version for an AI first-round interview and one for a final round with several interviewers.

When to use it
Send it as soon as a candidate passes the resume screen, ideally within two business days of applying. Speed matters most at this step: strong candidates usually have other processes going, and a fast, clear invitation is often the first real signal of how your company works. Use it for every round that needs the candidate to block time, not only the first.
If you only need to settle the time and the candidate already knows the interview is coming, a shorter scheduling email does the job. This invitation is for the moment you're telling someone, for the first time, that they've moved forward.
How to customize it
- Make the opening line personal. One real detail from their resume or cover letter shows a person read it. It takes 30 seconds and changes the tone of the whole process.
- Name the interviewers with their titles. Candidates research who they'll meet. Titles also tell them whether this is a screen or a deep technical conversation.
- Be precise about what's covered. "We'll ask about a recent project you led and how you'd handle a missed deadline" helps candidates give you better answers than "a general conversation."
- Say what not to prepare. If there's no coding test or presentation, say so. It lowers anxiety and saves strong people from overpreparing.
- Add the whole process. A two-line outline of every remaining step, with a decision date, cuts down on "any update?" emails later.
- Give a reply-by date. It keeps the requisition moving and gives you a clear point to send one reminder.

Mistakes to avoid
- Leaving out the length. Candidates with jobs need to know whether to block 30 minutes or a whole afternoon.
- Sending a calendar invite with no email. A bare invite from an unknown address often lands in spam or gets declined by mistake.
- Surprise tests. If there's a live exercise or a timed assessment, say so in the invitation.
- Asking health or personal questions. The accommodation line is about the interview process only. Never ask about a disability, family plans or age.
- Using a no-reply address. Candidates will have questions. Send from a real inbox someone watches.
Two rules worth knowing. Under EEOC guidance on the ADA, you may describe what the hiring process involves and ask whether an applicant needs a reasonable accommodation for it, and an applicant can ask for one at any point in the process. If an AI or other automated tool helps decide who moves forward and you hire in New York City, the city's consumer protection department says the required notice must go out 10 business days before the tool is used. This is not legal advice.
Automating this with Carolina
Carolina, NTRVSTA's AI Head of Talent, can send interview invitations as candidate messages by email, SMS or WhatsApp, then schedule the interview or panel with your calendar (Google Workspace, Microsoft 365, Zoom or Calendly). For first rounds, it runs live, adaptive AI interviews by video avatar or audio, which candidates take 24/7, and each one comes back with a score breakdown and a shareable report. Offers and compensation changes always wait for a person.
The free Starter plan includes one open role and 10 AI interviews; compare plans on pricing. Once a time is set, follow up with the interview confirmation email, or use the interview scheduling email when the time is still open. Our guide to NYC Local Law 144 and AI interviews explains the notice rules, the glossary covers reasonable accommodation, and you can find more on the templates hub.
Questions
What should an interview invitation email include?
The role, the interview format and length, who the candidate will meet, what the interview covers, how to pick or confirm a time, and a line inviting them to ask for an accommodation. Add a date by which you need a reply, and a real person they can write to with questions.
Can I ask candidates in the invitation if they need an accommodation?
Yes. EEOC guidance says an employer may tell applicants what the hiring process involves, such as an interview or a timed test, and ask whether they will need a reasonable accommodation for that process. Ask about the process only, not about any disability.
How should I invite candidates to an AI interview?
Say plainly that the first round is run by an AI interviewer, how long it takes, whether it is video or audio, and what it covers. Explain who reviews the results. If you hire in New York City and the tool counts as an automated employment decision tool, Local Law 144 requires notice 10 business days before use.
