What Is an Applicant Tracking System (ATS)? Definition and Examples (2026)

The system of record for hiring: what an ATS stores, what it automates, and where it stops.

The short answer

An applicant tracking system (ATS) is software that holds a company's job openings, applications and candidate records, and moves each candidate through hiring stages from application to offer. It is the system of record for hiring, so it is where you go to answer who applied, what happened at each step and who made the call.

How an applicant tracking system works

A recruiter opens a requisition, writes the job post and publishes it to the careers page and job boards from the ATS. Every application lands in one place. The ATS parses each resume into fields (name, contact details, work history, skills), asks any screening questions the employer set up, and puts the candidate in the first stage of a pipeline such as Applied, Screen, Interview, Offer, Hired.

From there, the team works the pipeline. Recruiters move candidates between stages, send emails, schedule interviews, collect interviewer feedback on scorecards, and send the offer. Because every action is logged, the ATS is also where reports like time to fill and source of hire come from, and where many employers keep the records they need for audits.

Example: a 300-person software company posts a backend engineer role and gets 450 applications in two weeks. The ATS applies two knockout questions (work authorization and location), sorts the rest into the Applied stage, and lets three recruiters split the review. Every rejection, interview and note stays attached to the candidate, so if the same person applies again next year, the history is there.

ATS vs CRM vs HRIS

Recruiting CRMPeople you want to hire someday, including those who never appliedSource and nurture a talent pool over time
HRISEmployees, after they are hiredPayroll, benefits, time off and employee records

Many products blur these lines. Large suites bundle an ATS, CRM and onboarding, while smaller tools do one job and connect to the ATS through an integration. When you add a tool, check that its results (scores, reports, stage changes) write back to the candidate record so the ATS stays the single source of truth. NTRVSTA works this way: it is an interview layer that integrates with your ATS (Greenhouse, Lever, Workday and 60+ other HR systems) rather than replacing it. Our list of AI interview tools for Lever covers that setup.

Common mistakes

  • Believing the ATS decides. In most setups the software applies rules people configured, such as knockout questions, keyword filters or a ranking feature the employer switched on. If good candidates are dropping out, check those rules first.
  • Too many stages. Twelve pipeline stages produce messy data. Keep stages that match real decisions.
  • Feedback outside the system. Interview notes in chat threads and email never reach the record, which makes later reviews and audits hard.

Questions

Is an ATS the same as an HRIS?

No. An ATS manages candidates before they are hired, from application to offer. An HRIS manages employees after they join, covering payroll, benefits and employee records. Many companies connect the two so a hired candidate moves into the HRIS without retyping.

Do candidates need to beat the ATS?

Not in the way the phrase suggests. The ATS mostly stores and organizes applications, and people decide who moves forward. Candidates do better with a clear, plainly formatted resume that uses the job post's own terms for skills they really have, and with honest answers to screening questions.

What should you check before connecting a new tool to your ATS?

Confirm which data flows each way, whether results write back to the candidate record, whether stage changes can trigger the tool automatically, and who owns the data if you stop using it.
