Best structured interview software in 2026

Eight tools that help every candidate get the same job-related questions and the same scoring rules, whether a person or an AI runs the interview.

Disclosure: we're NTRVSTA, we wrote this guide, and our AI interviewer appears at number five. Structured interviewing is a long-standing discipline, and several other tools here were built around it from day one, so we ranked them higher. Facts about other products come from their own sites, cited below.

TL;DR

Structured interview software helps you ask every candidate the same job-related questions and score them on the same rubric. VidCruiter, BrightHire and HireVue lead for human-run structured interviews at scale. Sapia.ai and NTRVSTA run the structured first round with AI. Karat runs it for you with trained human interviewers.

What actually matters when choosing structured interview software

Structure is three things: the same job-related questions or competencies for everyone in a role, a written rubric that says what good looks like at each level, and scores recorded with evidence before anyone compares notes. Good structured interview software makes all three the easy path. It should help you build question banks and rubrics from the job, nudge interviewers to submit scorecards on time, and show where interviewers disagree.

The AI era adds a new question: does structure mean every candidate hears identical words? Fixed-script tools (Sapia.ai's chat interview, Humanly's AI Interviewer, one-way video) say yes. Adaptive AI interviewers keep the competencies and rubric fixed but change follow-ups and difficulty based on answers, which can surface more signal from strong and weak candidates alike. Neither is wrong. Decide which you want, and ask every vendor to show how each score ties back to the rubric. Our guide to how AI interviews are scored covers that in detail.

Finally, keep bias in view. Structure reduces it, but it doesn't remove the need for checks. If a tool scores or ranks NYC candidates, it needs a bias audit; see our list of AI hiring tools with a published LL144 audit.

1. VidCruiter

VidCruiter says it offers structured interview guides, pre-recorded and live panel video interviews, scheduling, skills tests, reference checks and an ATS. Its AI auto-builds interview guides, scores pre-recorded answers against rubrics, and writes notes, summaries and transcripts. VidCruiter calls these tools assistive, not autonomous, and lists a fully autonomous AI Interviewer as coming soon. It lists SOC 2 Type II and ISO 27001 and integrates with Workday, SAP, Oracle and UKG. Pricing isn't published.

Best for: enterprise and public-sector teams that run formal, panel-based structured interviews.

2. BrightHire

BrightHire supports structure where most hiring teams struggle: getting interviewers to follow the plan and submit useful scorecards. It records and transcribes interviews, writes AI notes, fills scorecards and summaries, and coaches interviewers. BrightHire Screen adds an asynchronous two-way AI first round with follow-ups drawn from the job description. Zoom closed its acquisition of BrightHire in December 2025. BrightHire integrates with Greenhouse, Lever, Workday, iCIMS and many more. Pricing isn't published.

Best for: growing teams with many interviewers who need scorecards filled in consistently.

3. HireVue

HireVue says its AI Interviewer drafts questions and rubrics from the job description, runs a two-way voice interview 24/7 with probing follow-ups, and scores each answer against the role's criteria with an explanation. The wider platform adds one-way and live video interviews, game-based assessments and skills tests. HireVue says humans make final decisions, and lists SOC 2 Type 2 and ISO/IEC 27001. Pricing isn't published.

Best for: enterprise programs that want structured AI and human interviews under one vendor.

4. Sapia.ai

Sapia.ai builds each role's interview in a Job Analysis Studio, then runs the same structured, text-based chat interview with every candidate. Recruiters review scores through an assistant, and results flow into ATS systems such as Workday, SAP SuccessFactors and SmartRecruiters. Sapia says it has run AI interviews since 2018 and assessed 10M+ candidates. It lists SOC 2 Type 2 and ISO/IEC 42001. Pricing isn't published.

Best for: high-volume employers that want every applicant to get an identical, mobile-friendly first interview.

5. NTRVSTA (us)

NTRVSTA keeps the competencies fixed and lets the conversation adapt. Each role gets a customized interview (questions and avatar), and the AI interviewer runs it live as a video avatar or by audio. Follow-ups and difficulty rise or fall with each answer, behavioral questions follow the STAR method, and a hint system shows how candidates take guidance. Every candidate gets the same score breakdown (technical skills, English proficiency, communication), with video snippets of key moments to back each score up.

Where NTRVSTA isn't the right fit: if your process requires every candidate to hear word-for-word identical questions, a fixed-script tool such as Sapia.ai fits better. If you want structure for interviews your own people run, choose VidCruiter or BrightHire. NTRVSTA is a screening layer, not an ATS, and its public API is coming soon. Pricing starts at $299/mo.

Best for: teams that want a structured first round for technical and non-technical roles that still probes like a skilled interviewer.

6. Humanly

Humanly says its AI Interviewer asks every candidate the same structured questions across chat, voice and video, then returns a ranked shortlist with transcripts. Its suite also covers SMS outreach, scheduling, an AI Notetaker for live interviews, and an ATS, built partly through acquisitions such as Qualifi. Pricing isn't published.

Best for: frontline and high-volume employers that want a fixed-question screen plus scheduling.

7. Karat

Karat runs structured technical interviews for you. It says its trained human Interview Engineers use structured content sets and scoring rubrics. With Karat NextGen, launched in December 2025, candidates work on multi-file projects with an AI assistant while a live Karat interviewer probes their reasoning. Karat says AI never makes final hiring decisions. It offers a SOC 2 Type II report on request. Pricing isn't published.

Best for: engineering teams that want consistent, rubric-based technical interviews run by people, not software.

8. Willo

Willo is one-way, so structure comes naturally: every candidate answers the same questions on their own schedule, by video, text, file upload or multiple choice. It offers 1,500+ ready-made assessments, and Willo Intelligence adds transcripts, summaries and benchmarks for a human reviewer. Lite is GBP 49 per live role a month, and Enterprise starts at GBP 2,999 a year.

Best for: small and mid-size teams in the UK and EU that want identical async questions without heavy setup.

Questions

What is a structured interview?

It's an interview where every candidate for a role gets the same job-related questions, in a planned order, scored against the same written rubric. Interviewers agree on what a strong, average and weak answer looks like before they meet anyone.

Can an adaptive AI interview still be structured?

Yes, if the structure lives in the competencies and the rubric. Every candidate is assessed on the same skills against the same scale, while follow-up questions and difficulty change with their answers. Ask the vendor to show how scores map back to the rubric.

What should a structured interview scorecard include?

List the competencies for the role, a short description of each, and a 1 to 4 or 1 to 5 scale with an example answer at each level. Add a box for evidence, meaning what the candidate actually said, and require it before a score is saved.

Do I need software to run structured interviews?

Not to start. A shared document with questions and a rubric works for a small team. Software helps when many interviewers are involved, when you want scorecards filled in on time, or when you want to compare scores across hundreds of candidates.

How many interviewers should score each candidate?

For later rounds, two or more independent scorers who write their scores before discussing them gives you a fairer picture. For a first-round screen, one well-calibrated interviewer or an AI interviewer with a clear rubric is usually enough.

See how an adaptive interview keeps to a fixed set of competencies: book a 20-minute demo, or sit a sample interview and read your own score breakdown.
